Mission
The Office & HR Administration Assistant plays a key role in ensuring efficient office operations and providing administrative HR support. The position combines office coordination, time administration, procurement support, and HR administration, contributing to a smooth employee experience and operational excellence.
Your responsibilities:
1. Office Maintenance & Administration
- Ensure smooth day-to-day office operations, including facilities, equipment, and supplies.
- Coordinate with external vendors (cleaning, maintenance, facility services).
- Manage office inventory, orders, and workplace organization.
- Collaborate with the OHS team to maintain a safe, clean, and professional working environment.
- Support organization of meetings, internal events, and logistics.
- Handle incoming and outgoing correspondence (mail, courier shipments, document distribution).
2. Time Administration
- Manage time and attendance records for a defined group of employees reporting to foreign managers.
- Ensure accuracy and timely submission of working time, absences, and leave data.
- Act as a liaison between employees, managers, and payroll where needed.
- Support compliance with internal policies and local labour law regarding working time.
3. Purchase Orders & SAP Administration
- Create and manage PRs/POs in SAP in line with internal procedures.
- Track and monitor orders, invoices, and costs.
- Coordinate with vendors and internal stakeholders on procurement matters.
- Ensure proper documentation and compliance with finance policies.
4. HR Administration
- Maintain and update employee records in compliance with GDPR/ Labour Code regulations
- Administer employee benefits declarations (payroll deduction declarations, registering employees in benefits systems, monitoring enrolment and participation)
- Develop and update HR documentation, guidelines, and internal instructions
- Prepare reports on working time, annual leave and other
- Act as a point of contact for employees regarding HR administrative matters
- Assist in HR projects and initiatives (e.g., engagement, communication, training support)
Our requirements:
- Bachelor’s degree in Administration, HR or related field preferred
- English Language - B2 level or higher
- Experience in office administration and/or HR administration
- Experience working with SAP or similar systems is an advantage
- Experience supporting international teams is a plus
- Ability to communicate clearly with employees, managers, and external partners
- Experience working with international stakeholders
- Capability to explain processes, resolve issues, and respond to employee needs.
- Strong service orientation and ability to manage sensitive situations
- Strong organizational and multitasking abilities across multiple processes (office, HR, SAP).
- High level of accuracy in data handling and documentation.
- Ability to manage physical and digital documentation flows.
- Proficiency in MS Office and administrative systems.
