This is an in-office position based out of our Head Office in Vancouver.
The Opportunity
This is an excellent opportunity to start a career in the insurance industry in an entry-level role with opportunities to learn and grow. We are looking for a motivated, detail-oriented Administrative Assistant to join our team and support the day-to-day operations of our office.
The ideal candidate is highly organized, excellent customer service abilities, and is comfortable managing a variety of administrative responsibilities. If you are proactive, eager to learn, and take pride in keeping things organized while supporting both clients and colleagues, we’d love to hear from you.
Responsibilities
- Provide administrative support to ensure efficient operation of the office.
- Administration for online services (creating users, granting rights, etc.)
- Expenditure tracking and chargebacks.
- Intercompany and external bank transfers.
- Administration of equipment leases
- Maintain accurate records and files, ensuring confidentiality and organization.
- Perform proofreading of documents to ensure accuracy and professionalism.
- Handle online bill payments and basic reconciliations.
- Collaborate with team members to enhance workflow and improve office processes.
- Undertake clerical tasks such as data entry, filing and inventory management.
- Administer and maintain the Applied Epic system
- Create, update, and deactivate employee and user accounts
- Maintain accurate records for insurance companies, vendors, and other interests
- Manage security role, permissions, and user access
- Other special projects and responsibilities as needed.
Requirements
- Experience working in an office environment.
- Strong computer skills, including MS Word, Excel and Outlook.
- Outstanding organizational skills.
- Strong communications skills, verbal and written.
- Ability to work well with all levels of internal management and staff.
- A self-starter that thrives in a busy environment.
- Ability to prioritize and re-prioritize in an ever-changing environment is essential.
- Accounting knowledge and training is an asset.
