Role Overview:We are looking for a motivated Administration and Financial Associate / Financial Assistant to support our Polish organization. You will be working directly with the Managing Director and the Lead from Poland supporting them with financial and administrative tasks.
This remote, part-time role is ideal for someone experienced in finance, office management or administrative support. The position offers flexible working hours, making it suitable for candidates balancing work with other commitments.
Work Hours: Part-time, 0.5 FTE (4h/day) – Flexible schedule, with possibility to extend to fulltime(8h/day)
Key Responsibilities:
Finance & Administrative Tasks:• Manage monthly invoicing and financial data collection.• Update financial trackers, registers, and forecasts.• Assist the accountant with payroll, invoice issuance, and annual bookkeeping.• Assist the accountant in registering employees and signing employment contracts.• Provide payroll and subcontractor data for invoicing.• Prepare documents for accounting, legal, and management purposes.• Communicate with accountants, tax offices, and legal teams.• Handle ad hoc administrative tasks, including drafting contracts and correspondence.
Office & Team Support:• Assist with internal communication and coordination.• Make travel arrangements for the team.• Support daily office operations and back-office processes.• Serve as a point of contact for internal teams, clients’ finance departments and management.• Assist legal and management with contract administration and understanding responsibilities.
Required Skills & Experience:• Polish speaker with advanced English (written and spoken).• Proven experience in finance, office management, accounting, or administrative support with financial tasks (if you worked as a personal assistant reporting to the C-level or to other positions were you closely cooperated with external legal or accounting you would be a great fit for this role).• Strong Excel skills for trackers and reports.• Detail-oriented, structured, reliable and diplomatic.• Comfortable working fully remotely and independently.• Advantage: experience in an international environment.• B2B contract familiarity is a plus.
