For our Client, a well-established and recognized company operating in the services industry, we are looking for an experienced and proactive Administration Coordinator. This is an exciting opportunity to join a dynamic international environment and play a key role in supporting the CEO while ensuring the smooth day-to-day operation of the office.
Responsibilities:
- manage the CEO's calendar, appointments, and travel arrangements,
- coordinate internal and external meetings, including logistics and preparation of materials,
- prepare presentations, reports, and business documents,
- handle correspondence and communication in English and Polish,
- support the CEO with day-to-day priorities, follow-ups, and administrative tasks,
- assist with coordinating strategic projects and ensuring timely execution of action items,
- ensure the smooth and efficient operation of the office,
- coordinate office administration processes and maintain organized documentation,
- manage relationships with external vendors and service providers,
- oversee office supplies, facilities, and general workplace needs,
- coordinate document flow and administrative procedures,
- organize company meetings, events, and team activities,
- provide administrative support to employees and act as the first point of contact for office-related matters.
Requirements:
- at least 2-3 years of experience in office administration, office management, executive support, or a similar role,
- excellent written and spoken English (C1 level or higher), with confidence communicating daily in an international environment,
- strong organizational and time management skills, with the ability to prioritize effectively,
- a proactive, solution-oriented mindset and the ability to work independently,
- excellent interpersonal and communication skills,
- high level of professionalism, discretion, and integrity when handling confidential information,
- proficiency in Microsoft Office and/or Google Workspace,
- experience working in an international environment - nice to have,
- experience coordinating business travel and corporate events - nice to have,
- familiarity with productivity and collaboration tools such as Microsoft Teams, Asana, Notion, or similar platforms - nice to have.
