KEY WORK TASKS AND RESPONSIBILITIES:
Office & Administration:Keep day-to-day office operations running smoothly and in line with company standardsManage the front office: phone calls, visitors, partners, meeting and conference roomsOversee office supplies and equipment, including stock control and monthly procurementSupport internal events, meetings, and preparation of event marketing materialsCoordinate office maintenance and external vendors
HR Support:Run onboarding: document preparation, signing, and trackingMaintain employee records and ensure compliance with employment proceduresHelp implement HR policies and Work RegulationsAdminister the HR portal (travel warrants, working schedules, equipment tracking)Support administration of working hours, travel expenses, and HSE/compliance activities
Travel & Events:Arrange business travel (flights, accommodation, transport) in line with internal policiesSupport organization of congresses, symposiums, and corporate events
Procurement & Equipment:Run procurement processes: analyze offers, evaluate and recommend suppliers, issue purchase requests, and monitor executionMaintain inventory of all company equipment and manage handover documentationCoordinate equipment lifecycle (procurement, replacement, IT and office assets)Support managing car leasing and the company vehicle lifecycle (servicing, registration, compliance)
