About the role
As an Office & Administration Coordinator, you will be responsible for smooth day-to-day functioning of SNI’s office and administrative operations. We are looking for a highly organized and proactive specialist who enjoys working across multiple areas and ensuring everything runs efficiently. This role combines office coordination, HR administrative support, fleet management and event organization. What will you be responsible for?
- Office coordination: coordinate daily office operations and ensure a well-functioning workplace environment.
- HR system administration: administer the internal HR platform and process employee requests (sick leaves, annual leaves, remote work, periodic medical examinations, H&S mandatory trainings, etc.).
- HR administration: prepare employment-related documentation, coordinate document flow and support data input for monthly payroll with our external HR & payroll provider.
- Employee benefits: manage employee benefits programs and administer related online platforms.
- Employee records: prepare, collect, and maintain employment contracts, amendments, and other personnel documentation in line with Labour Code.
- Onboarding & Offboarding: coordinate employee onboarding and offboarding processes, ensuring both organizational and administrative support.
- Supplier management: manage relationships with office vendors, suppliers and service providers.
- Fleet management: coordinate the company car fleet, including car allocation, documentation, maintenance schedules and cooperation with leasing providers.
- Internal events: organize company meetings, internal initiatives (e.g. birthday celebration and baby showers), company conferences, and other events.
- Organizational culture: support initiatives that foster employee engagement and a positive workplace culture.
- Office supplies: manage office supplies, work tools and equipment (phones, laptops, cars, etc.) and workplace logistics.
- Document flow: coordinate documents approvals and signatures, ensuring proper document archiving and compliance.
What do we expect from you?
- At least 3 years of experience in office administration, office management, operations support or a similar coordination role (experience in the professional services/consulting industry is a strong plus).
- HR administration: experience in handling employment-related documentation and HR administrative processes in compliance with the Labour Code and in cooperation with external HR & payroll provider.
- Proficiency in English (C1): fluency in business communication, and handling international documentation.
- Independence and initiative: ability to take full ownership for the assigned area and proactively propose improvements.
- Proficiency in Microsoft Office: using tools such as Excel, Word, Power Point on a daily basis.
- Strong organizational and multitasking skills.
- Excellent attention to detail and ability to manage confidential information.
- Ability to work independently and prioritize tasks effectively.
- Strong communication and interpersonal skills.
